This policy explains how the Iași University of Life Sciences "Ion Ionescu de la Brad" (USV Iași), as data controller, processes personal data through the ARCA center's online platform, in accordance with Regulation (EU) 2016/679 (GDPR).

What data we process and why

We process data submitted voluntarily through the contact form (form language, name, email address, optional subject, message and consent confirmation), solely to respond to your request. The technical anti-spam field must remain empty and does not collect information from ordinary users.

  • Legal basis: consent (Art. 6(1)(a) GDPR). You may withdraw consent by contacting us at the address above.
  • Data minimization: we collect only the data needed for this purpose.

Retention period

Messages are retained for no more than 12 months after resolution, unless a legal archiving obligation or the defence of a legal claim requires a longer period. In that case, access remains restricted to authorised personnel.

Recipients

Data is not sold and is not shared with third parties for marketing. It may be accessed by authorised USV Iași staff and R&D COPILOT SRL as technical provider, within Hetzner infrastructure hosted in the European Union. Contact-form data is not used for marketing or profiling.

Technical data and local preferences

Servers may temporarily retain security logs containing an IP address, request date and browser identifier. Language, cookie and accessibility preferences are stored locally in the browser (localStorage) and are not submitted with the contact form. The platform does not currently use traffic analytics services.

Your rights

Under the GDPR, you have the right of access, rectification, erasure, restriction, portability, objection, and to withdraw consent at any time. To exercise these rights, contact us at the email above.

Security

The platform uses a secure connection (HTTPS/TLS) and technical and organizational measures appropriate to the risk, following the principle of data protection by design and by default.
